Role Definition

Reporting to:

Support Service Management



o     Comply with on-site Quality, Health and Safety and Environmental (QHSE) requirements;

o     Read, understand and comply with Company Policies and Procedures at all times;

o     Organize (as per the Construction Manager and site teams instructions) and participate in toolbox talks, safety meetings/campaigns and assist the QHSE team in reporting;

o     Liaison with site management and construction teams and provide support as required;

o     Deal with internal and external communication (phone calls, emails, post in/out etc.), ensure that urgent messages are actioned and receive deliveries;

o     Organize site meetings and take minutes;

o     Collect, check and process work orders and timesheets;

o     Deal with document controlling/management process and administration, including maintaining database, creating templates etc.;

o     Update and retain training documentation, training matrix, EHS training/inductions etc.;

o     Tracking absences, holidays and calendar management of site personnel;

o     Administrative ad hoc tasks;

o     Assist in the purchasing process by raising Purchase Orders and invoices;

o     Provide support in finance tasks such as budgeting and forecasting;

o     Arrange travel for visitors, site personnel and management;

o     Maintain site registries, records (such as Health & Safety, accidents, medicals etc.) and database as required;

o     Manage site/stationary supplies;

o     Manage/order staff Personal Protection Equipment (PPE);

o     Archive key documents once construction is complete; and

o     Consolidate daily/weekly/monthly reports as required.



o     French language skills (above C1 equivalent, preferably native speaker)

o     Strong communication skills;

o     Strong customer orientation skills;

o     Advanced Business Administration skills;

o     Advanced awareness of Health and Safety related to construction;

o     Proven ability to work in a construction site’s environment; and

o     Excellent IT Skills are essential.

o     Onshore shift pattern: 8 hours. Monday to Friday. Work pattern to be defined by tenderer
